AMA Patient Referral and Anesthesia Management System

This project delivers a comprehensive Google AppSheet solution designed to digitize, centralize, and automate the patient referral and anesthesia management processes for AMA. It streamlines the entire patient journey, from initial referral and guardian engagement to pre-procedure preparation, anesthesia administration, and billing, ensuring efficiency, accuracy, and improved patient care.

The Problem/Need/Why:

AMA currently faces challenges in managing patient referrals and anesthesia services due to manual, paper-based processes and disconnected systems. This leads to inefficiencies, potential data loss, increased error rates, and delays in patient care. The lack of a unified platform hinders collaboration between referring dentists, dental offices, and AMA staff, impacting the ability to efficiently track patient progress, manage medical necessity documentation, and ensure compliance. This project aims to solve these issues by creating a robust, integrated AppSheet system that digitizes workflows, centralizes data, and automates key tasks, ultimately enhancing operational efficiency and patient experience.

Workflow/User Journey:

  1. The journey begins when a Dentist or Physician initiates a referral via the AMA Refer App, inputting basic patient demographics. This triggers the Patient Referral Workflow. Dental Office Staff (DOS) then supplements the referral with detailed patient information, including insurance and medical history, and obtains guardian consent through electronic forms within AppSheet. The system then facilitates the Referral Review and Scheduling by AMA staff, considering medical necessity and anesthesiologist availability. Pre-procedure preparation includes electronic NPO questionnaires and the delivery of anesthesia-specific instructions. On the procedure date, the NPO questionnaire is reviewed, anesthesia is administered, and recovery is documented. Finally, the system handles billing and reporting, ensuring all data is captured accurately and securely. The Inventory Management Workflow ensures timely replenishment of necessary medical supplies based on low stock alerts.

The Client/Target Audience:

  • Referring Providers (Dentists and Physicians): Streamlined referral submission, easy access to patient information, and reduced administrative burden.

  • Dental Offices: Efficient management of patient appointments, seamless collaboration with AMA, and improved tracking of patient progress.

  • AMA Staff (including Anesthesiologists and Administrators): Centralized patient data, automated workflows, enhanced case management, and improved compliance through organized documentation.

  • Patients and Legal Guardians: Clear communication, accessible forms, timely updates, and a smoother overall experience from referral to post-procedure care.

Technology Used:

  • Google AppSheet (Primary platform for application development, workflow automation, and data management)

  • Database Design and Management (Conceptualization and structure of multiple interlinked tables, including Patients, Guardians, Referring Providers, Dental Offices, Schedules, Forms, etc.)

  • Workflow Automation (Designing and implementing complex, multi-step workflows triggered by specific events)

  • User Interface (UI) and User Experience (UX) Design (Creating intuitive forms and dashboards for different user roles)

  • Data Integration (Ensuring seamless data flow between AppSheet and potential AMA core applications)

  • Security and Access Control (Implementing permissions based on User Email, Role/Department, and Location/State)

  • Medical Documentation Standards (Understanding and incorporating requirements for Medical Necessity, CNDA, SOMN, NPO, and Anesthesia Consent forms)

  • Inventory Management (Developing a workflow for tracking stock levels and triggering alerts)

  • HIPAA Compliance Considerations (Implicit understanding of secure data handling within a healthcare context)

  • Reporting and Analytics (Structuring data for insights and potential dashboard creation)
